Booking Conditions

Last updated: 17 October 2026

Please read these booking conditions carefully before you book. They apply to every booking made with Travel Trek Ltd ("Travel Trek", "we", "us") on traveltrek.co.uk or by phone, and they form the contract between you and us together with your booking confirmation. By ticking the box at checkout you confirm that you have read and accept them on behalf of everyone named on the booking.

1. About us

Travel Trek Ltd is a company registered in England and Wales (company number 12537037) with its registered office at 20-22 Wenlock Road, London N1 7GU. We hold ATOL licence number 12044, issued by the Civil Aviation Authority. You can reach us on 020 8050 4143 (Mon-Sun 9am - 9pm) or at info@traveltrek.co.uk. Customers who have already booked can also call our customer services team on 020 8050 4723.

2. What you are buying from us

We sell four kinds of travel. Your confirmation email tells you which one you have bought.

  • Holidays (flight + hotel packages). When you book a flight and accommodation together through our holiday search, we put the package together and act as the organiser under the Package Travel and Linked Travel Arrangements Regulations 2018. We are responsible for the proper performance of all the travel services in your package. Your package is financially protected under our ATOL (see section 10).
  • Flights. Flights are booked with the airline in your name. The airline's conditions of carriage and fare rules apply as well as these conditions. Flights you book with us are ATOL protected and you will receive an ATOL Certificate.
  • Hotels only. We act as booking agent for the accommodation provider. Your contract for the stay is with the hotel, and the rate conditions shown when you book (including any cancellation deadline) apply. Hotel-only bookings are not package holidays and are not ATOL protected.
  • Car hire. We act as booking agent for the car hire company named on your booking. Your rental agreement is with that company and is signed at the desk when you collect the car. Car hire bookings are not ATOL protected.

Our prices and availability come live from airlines, hotels and car hire companies through our technology partner Duffel. The specific supplier for each part of your booking, and its reference, are shown on your confirmation and in Manage My Booking.

3. Prices

  • All prices are in pounds sterling and include taxes, airline charges and our service fee. The total price shown at checkout is the full amount you pay. We do not add card surcharges.
  • Prices are live and can change until you book. We re-check the price with the supplier when you go to pay. If it has gone up, we will show you the new price and only continue if you accept it.
  • Prices are per person for the party you searched for unless stated otherwise. Local taxes payable at the hotel (for example city or tourist taxes) are not included unless shown, and are paid locally.
  • Once your booking is confirmed and paid in full, we will not increase the price of your package.

4. Booking and payment

  • You pay the full price by debit or credit card when you book. Payments are processed securely by our payment provider; we never see or store your full card details.
  • The lead passenger must be at least 18 and must be authorised to accept these conditions for everyone on the booking.
  • Names must be entered exactly as they appear in each traveller's passport. Airlines may refuse boarding or charge for name changes if they do not match.
  • Your contract with us starts when we send your confirmation email. After taking payment we book each part of your trip with the supplier straight away. If a supplier cannot confirm your booking, we will refund you in full. If only part of your booking can be confirmed, we will contact you to arrange an alternative or a refund for the part we could not confirm.
  • Please check your confirmation as soon as you receive it and tell us straight away if anything is wrong.

5. If you change your booking

Many fares and rates cannot be changed. Where the supplier allows a change, you will pay any difference in price and any supplier charges, plus our amendment fee of £25 per person. Name changes are usually treated as a cancellation and rebooking by airlines.

Transferring a package: if you cannot travel, you may transfer your package to someone who meets all the conditions that apply to it, provided you tell us in writing at least 7 days before departure. You and the new traveller are jointly responsible for paying any additional costs this causes, including airline name-change charges, which can be the cost of a new ticket.

6. If you cancel

  • To cancel, the lead passenger must contact us by email at info@traveltrek.co.uk or by phone on 020 8050 4723. Cancellation takes effect from the day we receive your instruction.
  • You will pay the supplier's cancellation charges, which are shown when you book and can be up to 100% of the cost (for example non-refundable flights and hotel rates), plus our cancellation fee of £25 per person. Any refund due from the supplier will be passed back to you once we receive it.
  • For packages, you may cancel without paying a cancellation charge if unavoidable and extraordinary circumstances at your destination, or in its immediate vicinity, significantly affect your package or the transport of passengers there (for example where the Foreign, Commonwealth & Development Office advises against all travel). You will receive a full refund.
  • The 14-day "cooling-off" period in the Consumer Contracts Regulations does not apply to travel, accommodation or car hire booked for specific dates.

7. If we or the supplier change or cancel your booking

Airlines sometimes change flight times or cancel flights. If a significant change is made to your package before departure, we will tell you as soon as possible and offer you the choice of accepting the change, taking an alternative of equivalent or higher standard if one is available, or cancelling for a full refund. Where the regulations require it, we will also pay compensation, unless the change or cancellation is caused by unavoidable and extraordinary circumstances. For flight-only bookings, airline schedule changes and cancellations are handled under the airline's conditions and passenger rights law (UK261), and we will help you with your options. We will refund any money due to you within 14 days of a package cancellation.

8. Our responsibility for your package

We are responsible for making sure the travel services in your package are provided as described. If any of them are not, we will put things right unless this is impossible or would cost a disproportionate amount, and we may offer a price reduction or compensation where appropriate. We are not responsible where the problem is caused by you or someone in your party, by a third party unconnected with your package, or by unavoidable and extraordinary circumstances. Our liability for claims not involving death, personal injury or illness is limited to three times the price of your package. Where an international convention (such as the Montreal Convention for air travel) limits the compensation a supplier must pay, our liability is limited in the same way. If you are in difficulty during your package, we will give you appropriate help.

For hotel-only and car hire bookings we act as agent, so the supplier is responsible for providing the service. We are responsible for making your booking correctly and for passing on your requests.

9. Passports, visas, health and special requests

  • You are responsible for having a valid passport, any visas or travel authorisations (such as an ESTA for the USA or an ETIAS for Europe) and any vaccinations needed for your trip. Many countries require your passport to be valid for at least 6 months after your return date. Check the latest advice at gov.uk/foreign-travel-advice.
  • If anyone in your party has a disability, reduced mobility, a medical condition or is pregnant, please tell us before booking so we can check the arrangements are suitable and pass on any assistance requests. We will always pass special requests (such as room location or dietary needs) to the supplier, but we cannot guarantee them unless confirmed in writing.

10. Financial protection (ATOL)

When you buy an ATOL protected flight or flight-inclusive holiday from us you will receive an ATOL Certificate, available in Manage My Booking. It lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong. Our ATOL number is 12044. See our ATOL Protection page for more details.

11. Travel insurance

We strongly recommend that everyone in your party takes out travel insurance that covers cancellation, medical expenses and repatriation, and lost luggage, from the moment you book. Many fares are non-refundable, so insurance is the only way to protect yourself if you have to cancel.

12. Complaints

If you have a problem during your trip, please tell the supplier (for example the hotel reception) and contact us on 020 8050 4723 straight away, so that it can be put right. If you are not satisfied, please write to us at info@traveltrek.co.uk within 28 days of returning home, giving your booking reference and full details. We will acknowledge your complaint within 7 days and aim to respond in full within 28 days. If you cannot resolve a complaint with us, you have the right to take the matter to court.

13. Law

These conditions are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you live in Scotland or Northern Ireland you may instead bring proceedings in your local courts under your local law. Nothing in these conditions affects your statutory rights.
